About the role:
St. Coletta’s is seeking an Executive Secretary to provide executive assistance to the Chief Executive Officer and the Board of Directors.
Job responsibilities include:
- Maintains sensitive and confidential information, including personnel, financial, and legal matters, with a high degree of discretion.
- Attends board and committee meetings.
- Assists the CEO by preparing the agenda for Board meetings, preparing and distributing Board packets, and assuming responsibility for the logistics of Board meetings.
- Maintains the CEO’s calendar, including scheduling appointments and meetings.
- Takes minutes at meetings when required.
- Receives and takes telephone messages for the CEO and ensures that these are received in a timely manner.
- Coordinates committee meetings and prepares agenda items. Represents the CEO on committees in his/her absence.
- Maintains a record of library system policies and corporate records for the organization.
- Prepares travel arrangements and itineraries, and may approve and process travel reimbursements.
- Assists in compiling reports, maintains records and other documents, and coordinates special events.
- Communicates agency objectives, tasks, and decisions to staff on behalf of the CEO.
- Assists in the resolution of complex, highly sensitive, and confidential administrative matters.
Qualifications:
- At least 2 years secretarial experience in a non-profit organization or corporate setting.
- Associate's or Bachelor's degree, preferred.
- High school diploma, required.
- Must possess a valid IL/IN driver's license with an acceptable driving record, required.
