Description

Founded in 1949 by the Sisters of St. Francis of Assisi, St. Coletta’s of Illinois provides a lifelong continuum of care beginning in early childhood. Our residential, educational and vocational training programs provide services for adults and children with intellectual and developmental disabilities that enhance their independence and well-being. St. Coletta’s of Illinois Foundation is seeking a full-time detail-oriented, Administrative Assistant, to provide administrative support to the Development department.

Responsibilities:


Office Management
  • Manages the day-to-day administrative operations of the Foundation including; answering phone calls, responding to community and donor inquiries
  • Orders and manages supplies for the department, submits purchase orders, and coordinates with vendors
  • Prepares items in relation to meetings and events including, but not limited to, assembly of documents for distribution, coordination of site reservation and catering for events as well as manage event registration
  • Supports the Director of Development and Assistant Director of Development and Communications with department operations

Finance & Database Administration

  • Records donations in donor database
  • Maintains banking and deposit documentation
  • Implements and manages the Foundation’s stewardship activities including donor acknowledgement and recognition  
  • Prepares donor reports and mailing lists as needed
  • Serves as the Foundation liaison to Finance

Development

  • Facilitates gift in-kind donations such as solicit gifts for special event auctions and raffles
  • Assists in planning participant events facilitated through the Foundation
  • Serves as the main point of contact for all volunteer requests and activities
  • Coordinates with human resources to ensure all volunteers are screened properly
  • Attends all Foundation fundraisers, assisting as needed

Qualifications

  • High School Diploma or GED required
  • Experience with CRM software, preferred
  • Excellent interpersonal skills
  • Ability to work independently and as a member of a team
  • Highly developed organizational skills
  • Exceptional attention to detail
  • Ability to manage multiple projects
  • Ability to maintain confidentiality
  • Ability to work some evenings and weekends as necessary
  • Passion for St. Coletta’s of Illinois mission and serving the I/DD population
